The Opportunity:
Reporting to the Senior VP, Chair of CAFS, the Executive Assistant – Government & Industry Relations (GIR) and Community Involvement (CI) will be responsible for providing executive level administrative support to the Centre for Food Security (“Centre”) and staff of two, the Raise the Good in the Neighbourhood Volunteer program, and the internal GIR staff of three.
Snapshot of a Day-in-the-Life:
- Draft and collect signed agreements from new “Centre” partners
- Manage partnership grants (e.g. reporting and tracking, logo and photo use, invoicing and EFT process)
- Assist in managing donation requests
- Support government industry relations activities which include monthly lobbying reports, and maintenance of the government funding and contact databases, and the ‘Ask GIR’ platform
- Support event planning, meeting planning and coordination, and travel management
- Support all aspects of the Raise the Good in the Neighbourhood volunteer program
- Support posting of communications (e.g. website updates, news releases, social media, internal updates, and newsletter; updating mailing lists)
- Working with Finance lead, support financial requirements of both departments, including, processing of Accounts Receivables and Payables, and assisting with budget preparation and monthly, quarterly, and year-end financial updates
What You’ll Bring:
- A desire to solve problems, think creatively, and build new skills beyond administrative proficiency
- Excellent people skills with the ability to work building strong relationships with internal and external stakeholders
- Highly proficient at PowerPoint, Excel and Word; experience using the Borealis platform is an asset
- Excellent project management skills with the ability to identify and solve problems
- Strong organizational skills with the ability prioritize and manage a dynamic workload
- Strong writing (editing/proofing) and verbal communication skills with the ability to present information effectively
- Good judgment, a high level of personal initiative and respect for confidentiality
- Ability to work in a fast-paced and results driven environment while maintaining a calm and confident approach
- Basic finance skills to support development of annual budgets, tracking and monthly reporting
- Flexibility to work in the office (a minimum of two days/week, more as needed)
