This role will support the execution of the overall FSQATS program and supporting strategies and initiatives. This individual is accountable for delivering consistent, positive and collaborative support to the department and stakeholders.   This role is also required to actively contribute to process improvement recommendations and seek to applying best practices.


  • Support departmental administrative priorities and leadership team programs and initiative
  • Manage VP’s calendar and arrange itineraries, collaborate with others for travel, meetings, flights, hotels, car, etc.
  • Provide communications assistance for presentation formatting, designing, proof reading, writing announcements, etc.
  • Coordinating weekly operating FSQA Notes, and updating of critical FSQA matters and activities
  • Coordinate SR&ED Tax Credit process to track hours and project costs/materials
  • Manage department pool car program for 3 vehicles used by 60+ employees, ensuring policy and process is followed

Budget Management
  • Manage Annual Centralized and functional FSQATS Budgets:  create new templates, input data complete line by line expense validations to ensure savings for 6 cost centers while ensuring strict confidentiality
  • Manage monthly forecasts, Les, analyze variances in monthly reports and coordinate reconciliations with Finance; ensure data integrity, prepare variance reports for VP presentations
  • Accounting:  create POs and goods receipts in SAP, liaise with AP on invoices, approve P Cards
Food Safety and Quality Risk assessment for PDP
  • Manage risk assessments meetings and documentation within the product development process (PDP) when moving new product projects from idea to a launch, post all completed FSRA’s on SharePoint
  • Guide new marketing employees on the Food Safety & Quality elements within the PDP t and ensure all documentation and information is available before the meeting 
Event Management & Other
  • Plan, organize and execute internal/external/industry on-site and off-site Corporate and community charitable events from inception to completion, for large groups of 300+, at or under budget and meet rigorous timelines. (e.g., Annual conferences, summits, symposiums and other events)
    • Co-ordinate events for FSQATS dept., and MLF led food safety events. Scope of responsibilities encompass site selection & price negotiation, facilities needs, audio visual requirements, food, hotel room blocking for out of town attendees, etc.
  • Back-up for SharePoint designer and administrator and for Recall and Emergency Preparedness Manual


  • 5+ years’ experience in administration
  • Experienced and comfort with Budgeting and Finance process
  • Post-secondary education
  • Strong customer service focus with proven ability to positively forge partnerships within the business
  • Ability to work independently and as a collaborative team
  • Demonstrated initiative and continuous process improvement
  • Meticulous with details, highly organized and skilled at managing multiple deadlines
  • Highly professional to maintain strict confidentiality and prudence in sensitive matters
  • High level of proficiency in Office Suite, SAP, Visio and Outlook, SharePoint design/admin
